What we collect
We only collect personal information that is necessary for running the PNW Street Camera Project and the activities of the PNW. This includes:
- Members and donors: name, email address, phone number, physical address (where supplied), and donation history.
- Camera hosts: physical address, contact details, and site survey notes.
- Volunteers and patrollers: name, contact details, and vetting status.
- Website visitors: standard server logs (IP address, browser, pages visited) used for security and site analytics.
- CCTV footage: see our separate CCTV Notice for how camera footage is handled.
How we use it
- To run the PNW Street Camera Project — administering locations, donors, equipment, patrols, related administrative functions and reporting.
- To send transactional communications — donation receipts, host correspondence, project updates.
- To support investigations by the South African Police Service (SAPS) where lawful and necessary.
- To meet our legal, regulatory and reporting obligations.
We do not sell personal information. We do not use it for unrelated marketing.
Lawful basis
We process personal information on one or more of the following bases under POPIA s.11:
- The data subject's consent (e.g. when you sign up as a potential camera host or subscribe to updates, make a donation, interact with us via email or WhatsApp).
- Performance of a contract or arrangement with the data subject (e.g. host agreements, donation handling).
- A legal obligation (e.g. retention of financial records).
- Our legitimate interest in operating a community safety project, balanced against the rights of data subjects.
Who we share with
We use a small number of operators (third-party processors) to run the project. Each is bound to handle personal information only on our instructions and to keep it secure:
- Sim-Sin Computing — website hosting and email infrastructure.
- Netcash — donation processing.
- Homesecurity1st — accredited installer for cameras at host sites.
- Vetted PNW members — volunteers working on the camera project under confidentiality undertakings.
We may also share information with the South African Police Service or other competent authorities where required by law, by court order, or for the prevention and investigation of crime.
How long we keep it
- CCTV footage: typically 3–5 days, with a maximum of 30 days, unless preserved for a specific incident.
- Donor and host records: for as long as the relationship is active, plus the period required by South African tax and accounting law.
- Website server logs: long-term, for security, reporting and troubleshooting.
Your rights
Under POPIA you have the right to:
- Be told what personal information we hold about you.
- Request a copy of that information.
- Ask us to correct or delete inaccurate information.
- Object to processing in certain circumstances.
- Withdraw consent where consent is the basis for processing.
- Lodge a complaint with the Information Regulator (South Africa).
To exercise any of these rights, contact our Information Officer (details above). We will respond within a reasonable period, normally within 30 days.
